Privacy, written to match the actual product.

This document describes the current platform as it exists today: Clerk for sign-in, Supabase for product data, manual payout records in our systems, optional analytics only after consent, and no public live-Stripe payout flow.

What this policy covers

This Privacy Policy explains how VibeValley Records handles personal data when you browse the site, contact us, sign in, submit music, use the artist dashboard, or interact with our support and newsroom content.

VibeValley Records is the controller for the personal data described here. The business is based in Uppsala, Sweden, and can be reached at hello@vibevalleyrecords.com.

What data we collect

Depending on how you use the site, we may collect:

  • account data such as your name, email address, profile image, and session details through Clerk
  • submission and catalog data such as demo links, release metadata, uploaded files, credits, contracts, and support messages
  • operational finance data such as recorded revenue entries, manual payout preferences, payout history, and related notes stored in our admin and artist systems
  • support and communication data such as messages sent through our contact form, help-center votes, and newsletter sign-up information
  • limited usage data if you choose to allow analytics

We do not currently run live Stripe payout processing on the public platform. Artist payout operations in the current product are tracked manually in our internal systems and dashboard records.

Why we use the data and our legal bases

We use personal data only where we have a valid legal basis under the GDPR.

  • Contract: to provide accounts, review submissions, manage releases, store documents, show artist dashboard information, and handle signed agreements
  • Legitimate interests: to run the label platform, keep records accurate, prevent abuse, secure the service, and improve documentation and support flows
  • Consent: for optional analytics and newsletter communications
  • Legal obligation: where we must keep records for accounting, tax, rights management, or dispute handling

Processors and international transfers

We use service providers to run the platform. Those providers may process data on our behalf.

  • Clerk for authentication and account sessions
  • Supabase for database records, storage, and application data
  • Formspree for contact form delivery
  • Beehiiv for newsletter subscriptions
  • Vercel for hosting and, only if you opt in, analytics

Some providers may process data outside Sweden or the EEA. Where that happens, we rely on appropriate transfer safeguards such as contractual protections and provider measures intended to support GDPR compliance.

Retention

We keep data only for as long as it is needed for the relevant purpose.

  • account and profile data is normally kept while your account is active
  • release, contract, and finance records may be kept longer where legal, accounting, or audit duties require it
  • newsletter data is kept until you unsubscribe
  • support records are kept for as long as they remain relevant to ongoing support, operations, or dispute handling

Your rights

You may have the right to access, correct, delete, restrict, object to, or export personal data, depending on the circumstances and applicable law.

To exercise those rights, email hello@vibevalleyrecords.com. You also have the right to complain to the Swedish Authority for Privacy Protection (IMY) if you believe we handle your personal data unlawfully.

Cookies, analytics, and updates

Essential cookies and similar storage are used to keep the site functional. Optional analytics stays off unless you consent to it.
